- – Estimated number of participants: Please specify whether this number is likely to change. Be sure to mention any specific details about your group that are relevant to the experience (dietary restrictions, fitness level, children’s ages, etc.).
- – Language: The preferred language for your experience.
- – The type of group or event: a trip with family, with friends, a celebration, or a seminar.
- – Location: the address of your lodging or the event venue.
- – Your budget: either an overall budget for the entire service or a budget specific to the experience.
- – Your needs for additional services: lodging, transportation, photographer, decorations, etc.
- – Your contact information: name of the primary contact or company, phone number (only if you would like to be contacted by phone), and billing address for the quote (which will be sent to you by email).

- 1. Requests and Reservation Processes
- – Initial contact with our team: To ensure thorough follow-up, all requests (quotes, availability, reservations, and logistics) are handled exclusively via email (info@beyondroma.com) or through our online form. For organizational reasons, we will not process any requests by phone, text message, or WhatsApp.
- – Response times: As a general rule, you will receive a response within 72 business hours (Monday through Friday). However, this timeframe is suspended during the agency’s annual closure (the period between Christmas and New Year’s Day).
- – Create your itinerary: Want to combine several activities? Simply click the “heart” icon to add activities to your favorites and send us a single request that includes them all.
- – Need a turnkey trip? If your project requires a comprehensive proposal that includes finding accommodations, please fill out our dedicated form in its entirety.
- – Booking Deadlines: To ensure flawless organization, each project requires time. That is why we no longer accept last-minute requests. All requests must be submitted to us at least 3 business days (Monday through Friday) before the desired date.
- 2. Payment Terms
- – Reservation Confirmation: The reservation is not definitively confirmed until we receive the advance payment and proof of payment.
- – Accepted payment methods: Bank transfer (SEPA): Free (subject to the terms and conditions of your own bank and the country of origin) or Credit card: Via our fully secure online payment system (Stripe platform). Please note that a 3.9% service fee applies to this payment method and is the responsibility of the customer.
- 3. Cancellation and Refund Policy
- – Deposit and Agency Fees: In the event of a complete cancellation of your event, the deposit paid at the time of booking is retained by the agency to guarantee that your date is held and to compensate for turning down other events during that time slot. In addition, the planning and agency fees (included in our rates) are strictly non-refundable. These fees cover the preparatory work already completed by our team (research, coordination, logistical bookings), regardless of whether the project ultimately takes place. Since this amount varies depending on the activities and the number of people, it will be provided to you upon request.
- – Ticket Sales: Admission tickets for monuments or attractions are non-refundable once confirmed and paid for, unless the venue has a special refund policy (in which case, the refund will be issued after deducting our agency fees).
- – Custom orders and expenses incurred: Once an expense has been incurred by our agency or approved by our suppliers, custom purchases become strictly non-refundable. This applies in particular to: personalized gifts, perishable goods (e.g., gourmet gift baskets, catering), and the purchase of specialized equipment.
- – Force Majeure: The agency shall not be held liable for events or cancellations resulting from force majeure. This includes, but is not limited to: natural disasters, political or social unrest, strikes, epidemics or pandemics, unexpected closures of monuments or streets, as well as delays attributable to third-party service providers.
